EFFECTIVE AUGUST 1, 2024

The purpose of this document is to establish clear rules for Camden Place Homeowners (“Homeowners”) to rent, on an exclusive basis, any of the three amenities managed by the Camden Place HOA (“HOA”): Clubhouse, Pool, and Pavilion. The Tennis Courts are governed by a reservation arrangement consistent with the nature of the Tennis game. A Tennis Court is always rented on an exclusive basis.

The need to charge a fee is to defray maintenance, cleaning, and repair costs.

The following are the exclusive rental stipulations. 

• EXCLUSIVE RENTALS
  • When an amenity is rented exclusively to a Homeowner, no other Homeowner can use it during the rental period.
  • In addition to the rental Fees listed below, the Homeowner must submit a payment as a Refundable Damage Deposit.
  • The amenity rented exclusively must be returned in the same condition as when it was received [See Exit Checklist in each Rental Agreement document].
  • The homeowner who rents the amenities must be in attendance the entire time they are rented. 
  • Exclusive Rentals must comply with the Standards approved by the Camden Place HOA Board for each amenity.
• POOL
  • Homeowners can rent the Pool on an exclusive basis. 
  • The hours available for exclusive rentals are SAYOR hours on Mondays through Thursdays.
  • Exclusive Pool Rentals are unavailable on Fridays, Saturdays, Sundays, or holidays. Please refer to the “Activity Calendar” for actual SAYOR hours available on our web page: camdenplacehoa.org 
  • In addition to the rental fee, the renting Homeowner must hire a lifeguard(s) from Sears Pool Management (See Sears Pool Management form attached). Please get in touch with the HOA Administrator at clubhouse.cpbod@gmail.com
  • The Rental Fee is $250.00. The Refundable Damage Deposit is $300.00.
  • For rental information, please see the document “Swimming Pool Rules & Regulations and the Rental Agreement.”
• CLUBHOUSE
  • The Clubhouse can be rented on an exclusive basis, every day of the week
  • Hours: From 7:00 am to 11:00 pm
  • The actual rental can be for a portion of these hours
  • The Rental Fee for the time rented is $250.00.
  • The Refundable Damage Deposit is $300.00.
  • Please see the “Clubhouse Rules & Regulations and the Rental Agreement” document for rental information.
• PAVILION
  • The Pavilion can be rented exclusively every day of the week except when Tennis tournaments are played.
  • Hours: From 7:00 am to 11:00 pm
  • The Rental Fee is $50.00.
• MULTIPLE AMENITIES RENTAL
  • One Homeowner can rent an exclusive combination of two or three amenities for an event.
  • The Fee for renting the Pool and the Clubhouse together is the sum of the two rentals: $500.00. The Refundable Damage Deposit is $500.00.
  • The Fee for renting the Pavilion and the Pool is just the Fee for the Pool.
  • For Homeowners renting the Clubhouse and the Pool, the party must end at the Pool by 9:00 p.m., and it can continue until 11:00 p.m. at the Clubhouse.
  • For Owners renting the Pavilion and the Pool, the party must end at the Pool by 9:00 p.m., while it can continue until 11:00 p.m. at the Pavilion.
• ESTABLISHED PROGRAMS
  • Established Programs (such as ALTA, Swim Team, and similar) are exempted from rental fees when renting a facility on an exclusive basis).
    
    

The Board of Directors of Camden Place Homeowners Association (“CPHOA”), considering the health, safety, comfort, and convenience of all Camden Place Homeowners (“Homeowners” or “Homeowner”), has the authority, stated in Article VII of its Bylaws, to establish rules and regulations governing the use of the HOA’s amenities.

The following are the Rules and Regulations for the rental of the HOA’s Clubhouse.

Camden Place Clubhouse (“Clubhouse”) rental is limited to Camden Place Homeowners (“Homeowners or Homeowner”) in good standing. That is, the Homeowner requesting to rent the Clubhouse must have paid all Camden Place Homeowner Association (“CPHOA”) annual dues in full for the calendar year that the Clubhouse is requested.

The Homeowner who rents the Clubhouse must be in attendance during the entire time the Clubhouse facility is rented. The Homeowner who signs the Rental Agreement must be over 21 (see page 3 for a copy of this Agreement).

A Rental Fee of $250.00 will be charged for using the Clubhouse. In addition, a separate $350.00 Refundable Damage Deposit (“Deposit”) is due at the time of the reservation, both to be paid for by the Homeowner renting the Clubhouse. Checks, Zelle transfers, or cash from Homeowners for the Rental Fee and Refundable Damage Deposit will be accepted. The cash or checks received from the Homeowner will be deposited by the CPHOA Treasurer, at her discretion, in the CPHOA bank account.

The Clubhouse is a non-smoking facility compliant with Cobb County Fire Codes. Homeowners renting the Clubhouse must adhere to this Cobb County Fire Code. Any Homeowner who rents the Clubhouse and fails to follow the Cobb County Fire Code and is found by the Cobb County Fire Department to violate this code will be responsible for paying any fines associated with violating the Cobb County Fire Code.

In addition, it is the responsibility of the Homeowner who rents the Clubhouse to unlock all the exit doors while the Homeowner is renting the Clubhouse and lock them after the party ends.

Occupancy of the Clubhouse is not to exceed 110 persons while being rented
by a Homeowner.

During the Clubhouse's rental, the Homeowner is prohibited from using tape, tacks,
staples, or any other device to hang, affix, or attach any material to the wall,
furniture, or ceiling.

Renters must provide any extra tables and chairs for the event if needed.

A general clean-up is required by the Homeowner who rented the Clubhouse within twelve hours of the end of the event. The clean-up will include, but not be limited to:

• Furniture returned to its original location
• Removal of trash. All trash (including bathrooms) must be removed from the premises. There are trash bins outside of the clubhouse for trash storage or in the trash cans located next to the Pool Pump House. Do not leave bagged trash on the ground.
• Removal of stains from floors, surface areas, and furniture
• All food and beverages removed from refrigerator and kitchen
• Sweep floors for the Clubhouse and Pavilion and deck for the Pool.

Check, close, and lock the following doors:

• All two doors that face the Pool in the main Clubhouse room (the one with the fireplace)
• The back door that faces the Pool next to the Clubhouse kitchen
• The door between the Clubhouse rooms and the bathrooms
  The main entrance door
  
  

If general cleaning is not performed within twelve hours by the Homeowner renting the Clubhouse, then the Clubhouse manager can hire a cleaning service to perform this general cleaning. The cost of this service will be deducted from the renter’s $350 damage deposit. In addition, any damage to the Clubhouse facility and furniture found during the inspection period after the rental of the Clubhouse will be repaired, and the cost of said repairs will be deducted from the damage deposit. The CPHOA Board will make damage assessments.

The clubhouse rental does not include the use of the Pool. If Pool use is desired during the clubhouse rental, contact the HOA Administrator (clubhouse.cpbod@gmail) to schedule the Pool. Swimming is not allowed without a lifeguard present. Use of the Pool is only authorized when the Homeowner has made prior arrangements with the HOA Administrator to have lifeguards on duty for after-hours use or if more than ten guests will be swimming during regular Pool hours.

A Homeowner renting the Pool requires one lifeguard on the premises for every 25 persons attending the Homeowner function during the period the Clubhouse and Pool are rented together.

Parking for a Clubhouse or Pool event is in the lot adjacent to the pool and tennis courts. If additional parking is required, Upper Branden Street, only on one side of it, is available.

The clubhouse or Pool is not available for overnight rental.
